Client Challenge

Businesses need to enhance communications to their customers, clients, stakeholders, agents and vendors. They also need to migrate from legacy correspondence systems andenable business users to maintain content and support online/batch, interactive/ad-hoc and Web communications. Key needs are security, rapid development for new documents/applications, change management, compliance requirements, standardizing corporate branding consistency and personalization.

Solution Overview

Document Output in batch / online / user-interactive / on-demand

Batch output is generated by the Papyrus high-speed formatter DocEXEC on a server platform. We support all common server platforms and the mainframe. We output the final format from DocEXEC in AFP and PDF including indexes. In the following the documents can be directly printed or e-delivered or alternatively may first go into a Document Pool for bundling and sorting of multiple documents into one envelope.

DocEXEC can execute any rule based on formatting results and therefore directly interact with available white space, consequences of page breaks, table breaks and outcome of computations on variable data input. Most formatting commands can be defined as variables and therefore be completely data-driven. DocEXEC handles multiple codepages with ease, as each input data string is retained with its original codepage. Complex business document have to deal with 5 codepage settings (OS, input, rules, fonts, output) and for interactive additionally with the search and data entry codepages. Multi-language documents present a very complex subject but are fully handled within DocEXEC, the Client and the Papyrus Platform.

DocEXEC has the most powerful dynamic charts facility on the market. The script language facilitates a true object-oriented components approach that is more flexible than the embedding XML objects of XSL-FO.

Interactivity is built into the document architecture. Every document generated for batch or online can also be made interactive with a prompt for the end user. The DocEXEC formatting engine used for batch and online is used also on a PC and laptop guaranteeing same results.

On-Demand Output

Papyrus supports Webforms can capture all data entered into the webform and immediately return a composed PDF document via HTTPs to the browser.

Interactive Capabilities

Papyrus functionality can deliver electronic forms and PDF documents including URLs and QR codes and forms fill definitions. Papyrus immediately captures, the data received from forms fill and every click on a URL and immediately further processes in a back office can be performed. Papyrus also supports messages in a two-way communication and closes the feedback loop with its outbound and inbound communication capabilities.

Response Management

Because Papyrus is state- and event-driven, feedback arrives as events on any inbound channel. Papyrus will track and immediately handle these events as a task in the process, which is then automatically or manually routed to a specific user inbox or user group.

Campaign Management / Targeted Messaging

Papyrus offers a powerful Campaign Management framework solution that can feed a marketing database, interfacing to databases and including data from business documents. Highly targeted messages created by the marketing department can be dynamically included in business documents such as invoices. Serial letter mailings are composed for a specific group of people with a specific interest. The Papyrus rule editor lets you slice and dice the database down to very specific criteria for each person. All templates and content for the mailings can be maintained and created by the marketing teams.

Powerful Output Management Capabilities integrated end to end

In our architectured approach the AFP/PDF output with index from our formatter is also the archive copy. One can now in Papyrus flexibly choose if the document shall be delivered in PDF per email or printed in high volume, for example. All documents can be collected over time from different formatting runs on server and end user PCs. In a second step, we have the flexibility to add additional information to an already composed AFP or PDF page, such as a barcode if the document shall be printed, or a table of contents when wanting to bundle different documents together for one envelope or adding page numbering, etc.

It is most flexible and most efficient to choose the delivery channel at time of delivery. This avoids manipulation of the formatted document or - even worse - formatting the document for each channel! Papyrus can deliver based on customer preference, to a mobile phone an SMS to an e-mail server an e-mail with HTML or PDF attachment and to the printer an IPDS, PCL, PS print data stream without any extra step. Every document can always be viewed in perfect quality. PDF and AFP will look 100% pel identical on printers and for viewing, HTML uses different fonts but we control line break and page break.

WYSIWYG Document Design by business teams and IT

The Papyrus Designer Package provides powerful application tools for the development of dynamic data-driven statements, invoices, offers, contracts, marketing letters and forms for high-volume batch, online, user-interactive and on-demand business correspondence.

The very powerful integrated way of working and immediate presentation of each change made on the screen includes a performance profiler, trace lister and debugger for IT personnel. Documents can be structured in building blocks for reuse across many documents. They are versioned and validated and stored in the central WebRepository as an object with object ID.

Authorized business users in business departments are empowered to define content, text and tables, rules, images and assemble as power users templates for batch, online, interactive and on-demand production. As a unique feature of Papyrus, any of these documents and building blocks can include prompted parts to be filled out or edited by the clerk. With Papyrus interactivity, this is built into the document architecture so that every batch document could also be interactive if needed without redoing it.

The Papyrus DocEXEC document formatter included in the Papyrus Designer and the Papyrus Client software runs for production high-speed formatting on server platforms including the mainframe. This guarantees 100% perfect results at the time of design. All building blocks and resources are kept independent of any operating system and any output channel. All documents can be sent to any print or e-delivery output channel.

Integrated Change und Release Management with deployment at date and time

Authorized business administrators can create and manage document templates from reusable elements such as text paragraphs, tables, images and promotional messages. Business users can maintain text, images and document templates which can be used across online/batch, interactive/ad-hoc and Web communications. All formatting features are standard Papyrus functionality, including text styles, variable inserting, prompting, radio buttons checkboxes, images, color, lines, dynamic page break handling, widow and orphan, columns, tables, multi-language, OMR and barcodes, hyperlinks, stickers, text orientation, dynamic white space management, automatic resizing of images, TOC generation, page re-sorting, headers and footers, Wizards, template and text compare and multi-step sign off.

Papyrus WYSIWYG template design includes drag-and-drop commands and variable selection from a drop-down to move them in a fixed or relative position on a page. Templates can be assembled by uploading different building blocks. End users can given select boxes and radio buttons for multiple choices. The compare function in Papyrus allows to compare a new version of template with an older version showing differences in data and content for sign-off processes. The user can be allowed to add electronic attachments and define how many copies are needed. Alternatively in batch production the electronic attachments are added in the document pool. All page breaks in the documents are totally dynamic controlled by the formatter. It is possible to define what shall happen at the time of a pagebreak, i.e., close the table, calculate a page summary, widows and orphans, etc. The user can also be given a choice of output channels.

User Interactive document creation capabilities

Interactivity is built into the Papyrus architecture with in-document editing. Every document used for online or batch in dark processing can also be made interactive to be edited by the user. Certain parts of the document can be prompted for the user to enter additional text and variables, or to select additional building blocks which become part of the total document. The document is immediately formatted and every mouse click recorded to show all changes made including page breaks. In addition, Papyrus also supports a thin client where browser-based entries are made and the document is formatted on a server. The generated document with all user entries, including the business data and layout definitions, is formatted in PDF and presented back to the browser via HTTPs. (This on-demand document generation capability is separate from interactive document editing.)

  • Papyrus WebRepository on a central server provides the management infrastructure for user and document security, manages versioning of resources and applications, change management and central resource collection. User applications are developed with the Papyrus EYE GUI. Built-in portal delivers applications to internal named users. Proxy replication offers offline laptop users (insurance agents) the same infrastructure in a local library.
  • Papyrus Client/Desktop in concurrent use enables business users to work in different roles with templates, assembling content and creating new building blocks, text editing with spell check, business rule (NLR) and process definition, i.e. sign off, local or central print.
